Bids & Contracts Excellence Leader (M/F/d)

The Bids and Contracts Excellence Leader will have a key deliverable of increasing the efficiency and effectiveness of ZOLL’s bid and proposal submission process, as well as customer contracts administration. This will involve coordination and collaboration with various internal departments and business units, as well as external legal consultants, to ensure that company procedures are followed to drive new business and secure tenders.

Job Summary:

- Become a super-user of the new Tender Management Software while extensively contributing to building it
- Actively participate in attaining Commercial Excellence ;
- Creation, coordination, implementation and maintenance of a procurement management process at European level
- Processing and reviewing contract requests, routing templates and supporting documentations to the appropriate negotiating team, ensuring all internal control and compliance obligations are adhered to;
- Ensuring the continuous improvement of all templates, playbooks, checklists for both bidding and contracting.

Essential Functions:

- Drive the B&C team and collaborate with B&C Manager in owning the entire process;
- Be a key stakeholder in the new Tender Management Software project: cooperate in building the interface, define rules and processes supporting its deployment in collaboration with all other involved departments (Sales, Marketing, Product Management ) and train target user subgroups;
- Review/edit proposals ; ensure they are compliant with contracting authority requirements and as per B&C department procedures;
- Coordinate efforts throughout different departments to develop content for proposal sections while monitoring that deadlines are met across EU Direct markets;
- Resolve compliance, legal or other critical issue related to B&C and communicate any change to all stakeholders as required ; interface with Legal department/external legal consultants when needed
- Ensure bidding documents and contracting templates library is always maintained up-to-date
- Ensure contractual records are always maintained up-to-date
- Ensure ZOLL is in compliance with all contractual requirements ;
- Develop and prepare relevant KPIs and status reports on e.g. completed proposals (wins/losses), contract performance metrics and/or other ongoing projects
- Generate team related SOPs in our QMS

Skill Requirements:

- Relevant Bachelor's degree and several years experience with bid submissions and contract management
- Capacity to utilize critical thinking to analyze complex procurement requirements relating to bids, special provisions, pricing, internal approvals, and terms and conditions to ensure compliance with appropriate laws, regulations and corporate policies
- Strong organizational and time management skills, able to excel in a deadline-driven environment, set priorities and meet deadlines
- Excellent interpersonal skills, with a positive and reliable can-do attitude: ability to cooperate as a team player, meeting and understanding the needs of different temperaments
- Fluency in English and German
