IN A NUTSHELL

The Accounts Payable Specialist will be responsible for managing the accounts payable process, ensuring accurate and timely processing of invoices, expense reports, and payments at the Design Hotels corporate office in Berlin. The position will play a crucial role in maintaining strong vendor relationships and supporting the company's overall financial operations. The incumbent participates in internal, external, and regulatory audit processes and ensures compliance with SOPs.
TASKS & RESPONSIBILITIES

**Invoice Processing**
- Receive, review, and process invoices accurately and in a timely manner
- Match invoices with purchase orders and packing slips to ensure accuracy

**Expense Report Management**
- Review and process employee expense reports, verifying receipts and compliance with company policies

**Payment Processing**
- Prepare and process weekly/monthly check runs and electronic payments
- Reconcile payments with accounts payable ledger and ensure proper documentation

**Vendor Management**
- Communicate with vendors regarding payment inquiries and discrepancies
- Manage the vendor contract database
- Maintain positive relationships with vendors and resolve any issues promptly

**Account Reconciliation**
- Reconcile vendor statements and resolve discrepancies
- Ensure accuracy in account coding and allocation of expenses

**Month-End Close**
- Assist in month-end close activities related to accounts payable
- Provide necessary reports and documentation for financial reporting

**Compliance**
- Ensure compliance with company policies and procedures as well as relevant accounting regulations
- Stay updated on changes in accounting standards related to accounts payable

**Process Improvement**
- Identify opportunities for process improvements and efficiency gains within the accounts payable function
- Collaborate with cross-functional teams to implement improvements

EXPERIENCE & MINDSET
- Bachelor's degree in Accounting, Finance, or a related field.
- Proven experience as an Accounts Payable Specialist or in a similar role
- Knowledge of accounting principles and regulations
- Proficiency in accounting software and Microsoft Excel
- Strong attention to detail and accuracy
- Excellent organizational and communication skills
- Ability to work independently and as part of a team
- Familiarity with ERP systems is a plus (e.g., NaVision, PeopleSoft)
- Team player with excellent German and English written and verbal communication skills
