VFX Coordinator

This position is on-site in our Berlin studio, and start date is January 2026 Your tasks: Work closely with Producers, Leads, and Supervisors to manage schedules and workflows across departments, ensuring internal and external deadlines are met Organize and support dailies, Cinesync sessions, rounds, and meetings – including note-taking and follow-up with artists and leads Track and manage client feedback and internal notes, ensuring updates are clearly communicated and logged in the production database daily Support timely and accurate delivery of temp and final shots, in collaboration with the editorial team and client-side contacts Maintain clear, proactive communication with artists, supervisors, and other departments, escalating potential issues early Manage incoming and outgoing client reference material and VFX plates Help prioritize render farm usage and oversee data flow for smooth operations Collaborate with support departments (IT, Editorial, etc.) to manage resources and resolve bottlenecks Help create a positive team culture by being solution-oriented and fostering collaboration Ideally you will have: Solid understanding of visual effects production workflows and terminology Excellent organizational, time-management, and multitasking skills Clear and professional communicator – both in person and via email or production tools Calm under pressure and capable of juggling shifting priorities and tight deadlines Positive and proactive attitude – you help maintain a great team dynamic Fluent in English, German is a plus Experience with production tools such as Excel, FileMaker, Shotgun, or DaVinci Resolve is a plus Location & Work Requirements: On-site in Berlin, Germany EU citizenship or a pre-existing German work permit required We look forward to hearing from you
