You’ll play a vital role in combining top-tier facility operations with an engaging, people-centered environment.Your Mission 🎯In this full-time, on-site role, you’ll be the operational backbone of the Berlin office — ensuring smooth daily operations, managing suppliers and budgets, and maintaining a safe, efficient, and inspiring workplace.You’ll also collaborate with internal teams and regional Workplace Experience colleagues to implement best practices, drive improvements, and continuously enhance how employees experience the workspace.What You’ll Do 🗒️Facility & Operations Management Take full responsibility for on-site facility operations, including maintenance, inspections, and compliance with building and safety standards. Manage service providers and contractors — ensuring quality, certifications, and cost control. Oversee work orders, project reporting, and digital maintenance systems. Handle budgeting, purchase orders, and invoicing in line with contractual and financial requirements. Support smaller regional offices (Hamburg and Düsseldorf) when needed. Workplace Support & Employee Experience Ensure a welcoming, functional, and inspiring office environment that supports creativity and productivity. Partner with internal teams on onboarding. Plan and support internal events and activities that strengthen workplace culture. Anticipate employee needs and continuously improve the on-site experience — from functionality to aesthetics. Collaboration & Innovation Partner with regional Workplace Experience to align on global strategies and standards. Identify opportunities for process improvement, cost optimization, and sustainability. You will be using AI to enhance vendor management, reporting, and communication. Who You Are ⭐You’re a proactive, service-minded professional who thrives at the intersection of operations and people. You combine technical understanding with strong coordination skills and a passion for delivering excellence every day.We believe you bring: Minimum 4 years of experience in facility coordination, integrated facility management (IFM), or office management within a corporate or creative environment. Strong understanding of building systems (HVAC, electrical, safety) and facility processes. Experience managing budgets, purchase orders, and supplier relationships. Excellent communication skills in English and German (spoken and written). A hands-on mindset with the ability to prioritize, plan, and solve problems independently. A valid B-class driver’s license is an advantage but not required. Employment & Working Hours 🕛 Full-time, on-site (no hybrid work) — Monday–Friday. Start date: as soon as possible or by agreement.
