Business Operations Specialist

About the Role

We are seeking a highly motivated and detail-oriented Business Operations Officer to join our team at Semalytix GmbH. As a key member of our operations team, you will play a crucial role in implementing, managing, and continuously improving our emission and carbon management initiatives, as well as developing and certifying management systems for our IT operations.

Key Responsibilities
  1. Implementation of Emission and Carbon Management Initiatives
    • Assist in designing and rolling out strategies to monitor, calculate, and reduce greenhouse gas emissions across the company.
    • Work closely with senior team members to execute carbon management projects, ensuring they align with our sustainability goals.
    • Contribute to creating reports and documentation that track our carbon footprint and sustainability efforts.
  2. Development and Implementation of Management Systems and Certifications
    • Support the planning, development, and implementation of management systems aligned with ISO standards (e.g., ISO 14001 for Environmental Management, ISO 27001 for Information Security).
    • Assist in coordinating and executing certification processes, ensuring all necessary documentation and processes are in place.
    • Work on internal audits and prepare the organization for external audits to achieve and maintain certifications.
  3. Data Collection, Analysis, and Reporting
    • Gather, analyze, and interpret data related to emissions, carbon management, and IT operations to support the implementation and management of initiatives.
    • Assist in developing reports and presentations that summarize findings, highlight progress, and recommend further actions.
  4. Asset Management & Change Management
    • Be responsible for maintaining and expanding asset management, particularly for external services and virtual internal systems. Ensure that all assets are correctly recorded and managed.
    • Support change management and document all business-relevant changes both in asset management and in our ticket system.
    • Collect new or changed requirements for partners, external services, or internal processes and ensure that they are processed promptly and accurately.
    • You will support the documentation of process quality, reporting, and identify necessary changes in process management.
  5. Collaboration and Communication
    • Act as the central point of contact for communication between the various teams such as Sales, Product Management, Development, and IT.
    • Regularly communicate project updates, challenges, and successes to stakeholders, ensuring transparency and alignment.
Requirements
  • Bachelor's degree in Business Administration, Environmental Science, Sustainability, Information Technology, or a related field.
  • Strong interest in sustainability, emissions management, and the development and implementation of management systems.
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to manage multiple tasks and projects simultaneously, with a keen eye for detail.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with data analysis and project management tools.
  • Understanding of management systems (e.g., ISO standards) required and experience in implementation or auditing is a plus.
  • Strong communication skills, both written and verbal, with the ability to work effectively in a team.
