Job Description

We are seeking a highly skilled and organized Personal Assistant to join our dynamic team. As the right-hand person of our management team, you will be responsible for providing administrative support, managing calendars, and coordinating tasks.

Key Responsibilities
  • Manage the front desk, incoming and outgoing mail, and telephone calls
  • Welcoming and hosting guests, providing exceptional customer service
  • Preparing and maintaining meeting rooms, ensuring a smooth and efficient workflow
  • Calendar management, scheduling appointments, and meetings
  • Handling travel expenses and accounts for the team and management
  • Procuring and managing office supplies, materials, and beverages
  • Caring for our plants and maintaining a clean and organized workspace
  • Corresponding with service providers and coordinating their activities
  • Preparing preliminary financial reports
  • Facility management, ensuring a safe and comfortable work environment
  • Creating customized offers and calculations
  • Planning and executing internal events
  • Communicating with external service providers (e.g., accountants, lawyers)
  • Managing the company fleet and real estate
  • Supporting HR in managing employee projects
Requirements
  • Completed commercial or equivalent education/studies
  • Previous experience as an assistant, secretary, or office manager
  • Excellent Microsoft 365 skills
  • Good numerical skills
  • Basic knowledge of accounting and bookkeeping
  • Strong organizational skills, ability to work independently and take initiative
  • Excellent verbal and written communication skills in German
  • Good English skills in writing and speaking
  • Confident and professional demeanor
  • Good general knowledge and ability to quickly understand complex relationships
  • Hands-on mentality
