Executive Support Specialist

We are seeking a highly organized and professional Executive Personal Assistant to support our leadership team and senior executives across the organization.
Key Responsibilities- Senior Stakeholder Interaction: Liaise between leadership team and senior executives, including C-level executives and senior management, to coordinate communications with tact and professionalism.
- Executive-Level Support: Provide comprehensive administrative support, managing complex calendars, scheduling meetings across time zones, and coordinating international travel.
- Meeting and Event Management: Organize and manage high-level meetings, strategy sessions, and events, ensuring seamless logistics, preparing agendas, and managing follow-up actions.
- Global Coordination: Coordinate with global teams and offices, managing communications and logistics across regions, ensuring efficient completion of time-sensitive tasks.
- Documentation and Reporting: Prepare high-quality documents, reports, and presentations for senior management, ensuring accuracy and alignment with corporate standards.
- Project Support: Assist in planning, coordination, and execution of strategic projects, tracking progress, meeting deadlines, and providing administrative support.
- Confidentiality and Discretion: Handle sensitive information with utmost confidentiality, managing communications and documentation with discretion.
- Proven Experience: Proven experience as a Personal Assistant or Executive Assistant supporting senior management in an international or corporate setting, ideally in energy, technology, or similar industries.
- Education: Bachelor's degree preferred, additional qualifications in business administration or related field advantageous.
- Communication Skills: Outstanding written and verbal communication skills, interacting effectively with senior executives and key stakeholders.
- Global Experience: Experience in a global organization, understanding different cultural contexts and working across time zones.
- Problem-Solving: Proactive problem-solving with discretion in handling confidential information.
- Technical Skills: Proficiency in Microsoft Office Suite and adaptability to new technologies.
- Travel: Willingness to travel and to support a globally distributed leadership team.

- Working from Abroad: Up to 20 days in the European economic area.
