Logistics Operations Coordinator

About the Role
The Université du Luxembourg is seeking a highly skilled Logistics Supervisor to join its team. As a key member of the logistics department, you will be responsible for planning and organizing the entire logistics activity on campus, ensuring seamless operations and efficient service delivery.
Key Responsibilities
- Coordinate the logistics team and ensure personalized development follow-up, including training, one-on-one interviews, and team meetings.
- Plan and participate in call duty periods, identifying and managing risks to ensure business continuity.
- Support the team in executing operations related to the department's activities, including maintenance and quality control.
- Guarantee the quality of operations and projects, adhering to procedures and deadlines, and establish key performance indicators (KPIs).
- Build strong relationships with cross-functional and user teams, managing critical escalations to minimize user impact.
- Collect and analyze data via various tools, including Service Now and Acme, to inform decision-making.
- Ensure regular reporting and activity reporting, including drafting reports.
- Manage service providers and suppliers, monitoring performance and billing.
- Identify functional needs for bill of specification preparation and participate in tenders.
- Analyze problems and propose sustainable solutions.
- Participate in the development and improvement of procedures.
- Follow up on furniture and consumables.
- Perform miscellaneous administrative tasks.
- Assist in site evacuation in emergency situations.
Requirements
- Bachelor's degree or equivalent experience in logistics and/or management.
- 1-3 years of working experience.
- Good oral and written expression in French and English (B2 minimum level), with knowledge of German and Luxembourgish an advantage.
- Good knowledge of audiovisual material.
- Attentive and rigorous regarding instructions and health and safety rules.
- Knowledge of security and technical infrastructure an advantage.
- Mastery of MS Office (Outlook, Word, Excel).
- Ability to work proactively, independently, and discreetly.
- Team spirit, dynamism, and sense of initiative.
- Flexibility in schedules.
- Category B driving license.
