Overview

We are seeking an experienced Strategic Operations Coordinator to join our Support Function team as a Management Assistant. This role will play a critical part in ensuring the smooth operation of our Founding Team's daily routine, handling various tasks efficiently and effectively.

The Role
  • We require someone with at least 3+ years of experience in a similar position, offering top-notch support to executive leaders in an international setting, preferably within a startup environment.
  • Key responsibilities include:
  1. Ensuring a seamless daily routine for our Founding Team by managing operational tasks such as vendor communications, reservations, meeting coordination, calendar management, and travel arrangements.
  2. Coordinating vendors and service providers on behalf of the Founding Team to achieve efficiency and high-quality services.
  3. Planning and organizing business trips, including booking travel arrangements and managing travel expense reports.
  4. Overseeing administration tasks, accurately entering digital receipts, and managing incoming invoices in a digital format.
  5. Supporting various business functions, particularly Legal, HR, and Finance, with ad-hoc tasks such as filing and invoice management.
  6. Preparing meeting agendas, presentations, and other relevant documents for business meetings and strategic planning sessions.
Requirements
  • A proven track record of delivering exceptional support to senior leaders in an international setting.
  • Excellent communication skills, with strong written and spoken proficiency in both German and English.
  • A customer-oriented mindset with the ability to manage confidential information discreetly.
  • Highly organized and proactive individual with the capacity to balance multiple priorities in a dynamic environment.
  • Ideal candidate would have a driver's license and flexibility in coordinating local services for our Founding Team.

Estimated Salary Range: €40,000 - €55,000 per annum (dependent on location and experience)
