About the Role

We are seeking a highly skilled and experienced Executive Support Specialist to join our team at AMDT. As the right-hand person to our CEO and other Board members, you will play a crucial role in supporting the day-to-day activities of the executive office.

Key Responsibilities
  • Calendar Management: Manage the CEO's and other Board members' calendars, schedule appointments, and coordinate meetings with internal and external stakeholders.
  • Communication and Coordination: Screen and prioritize incoming communication, including emails, phone calls, and other inquiries, demonstrating excellent communication skills in both written and verbal formats.
  • Reporting and Documentation: Prepare reports, presentations, and documentation as required.
  • Facilitation and Collaboration: Facilitate effective communication and collaboration between the Executive Board and department heads, ensuring alignment with company goals and objectives.
  • Research and Information: Conduct research and compile information on specific projects and topics on request.
  • Confidentiality and Discretion: Maintain confidentiality of sensitive information and exercise discretion in all matters.
  • Ad-Hoc Tasks: Perform ad-hoc tasks and projects as needed and ensure the overall efficiency of the executive office.
Requirements
  • Experience: Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting C-suite executives.
  • Organizational and Time-Management Skills: Excellent organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • Interpersonal and Communication Skills: Strong interpersonal and communication skills, enabling effective collaboration with stakeholders at all levels.
  • Attention to Detail: Attention to detail and a proactive approach to problem-solving.
  • Technical Skills: Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint), Collaboration Tools like Teams, Zoom, etc. and Sharepoint; Salesforce and Tableau/PowerBI is an optional plus.
  • Education: Bachelor's degree in Business Administration or a related field is preferred but not mandatory.
  • Language Skills: Fluency in English and German is required.
