Position Overview

We are currently seeking a Facilities Coordination Specialist to join our Integrated Facility Management team, specifically supporting our Amazon account.

Role Responsibilities

The Facilities Coordination Specialist will report to the Senior Facilities Manager and will be responsible for:

  • Coordinating the logistics of personnel and workspace transitions within the organization, ensuring meticulous planning and execution.
  • Managing the relocation of clients to major locations, overseeing personnel and space data, and collaborating with third-party vendors.
  • Planning and executing moves for individuals and teams, including medium to large-scale displacements.
  • Overseeing asset management, including the addition, removal, and ordering of furniture and specialized equipment.
  • Tracking occupancy changes, maintaining accurate records of desk assignments and office layouts.
  • Compiling and presenting precise statistics and monthly reports.
  • Communicating effectively with stakeholders to address inquiries and resolve issues.
  • Organizing and managing personal workload transparently to facilitate support from colleagues.
  • Addressing Move/Space related issues promptly and accurately, ensuring timely responses.
  • Collaborating with local suppliers for ongoing support.
  • Participating in regular Move Project meetings.
  • Maintaining confidentiality regarding all operational plans and discussions.
  • Ensuring a thorough handover of responsibilities in the event of absence.
  • Performing additional tasks as required.

Key Qualifications

  • Exceptional organizational and time management skills.
  • Strong problem-solving abilities.
  • Proficient analytical and statistical reporting skills.
  • Capability to interpret and analyze architectural drawings and plans.
  • Familiarity with AutoCAD or similar tools for floor plan updates is advantageous.
  • Ability to navigate complex interpersonal dynamics effectively.
  • Awareness of health and safety protocols.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications.
