Administrative Specialist

EligibilityThis role is open to:
- Current INTERNAL Local National Employees across Germany, including those from the U.S. Forces and AAFES-Europe.
- EXTERNAL Local National Applicants residing in Germany.
The primary objective of this role is to effectively oversee a comprehensive Employee Occupational Health (OH) Data Management Tracking System. The individual will act as the liaison between the assigned contractor and the Local National workforce, serving as an administrative data technician to the Occupational Health Nurse (OHN). Responsibilities include:
- Maintaining an accurate Employee Occupational Health Data Management Tracking System and utilizing computer systems to manage data within the designated database.
- Overseeing the employee database, which includes between 3,000 and 4,000 Local National employees, and serving as the main point of contact for various inquiries.
- Coordinating with the assigned contractor to schedule monthly medical examinations for Local National employees.
- Preparing reports for the OHN regarding the status and quality of occupational health medical surveillance.
- Managing an automated system for storing medical information of Local Nationals enrolled in the Health Surveillance Program.
- Ensuring compliance with contract performance and addressing any scheduling issues.
- Communicating with various organizations to provide timely information on medical surveillance exams.
- Processing documents for formal communication with contracted clinics and preparing monthly summaries of contractor activities.
- Tracking missed appointments and maintaining follow-up records.
- Providing administrative support, including word processing and document management.
Applicants must meet the following criteria:
- C-05 Level:
• E&T Level I: 2 years of relevant experience plus 1 year of experience in a related field.
• E&T Level II: 1 year of relevant experience plus 1 year of experience in a related field.
• E&T Level III and above: No additional experience required.
- Proficiency in office automation and basic medical terminology is preferred.
- Language proficiency: English B2 and German C1 required.
This is a permanent part-time position requiring 20 hours of work per week. Employees may occasionally work remotely for specific assignments. Benefits include:
