We are in search of a dedicated HR Coordinator to enhance our operations in Germany. This role is pivotal in supporting and streamlining Rakuten's HR functions while managing administrative responsibilities across various business locations. The HR Coordinator serves as the primary contact for employees, addressing HR inquiries with accuracy and delivering outstanding customer service. Additionally, this position supports the HR Business Partner team and collaborates with other HR divisions, IT, Finance, and Accounting. Responsibilities include maintaining the HRIS database, onboarding new team members, and executing various projects with diligence and efficiency. The ideal candidate will possess a proactive attitude and a strong desire to expand their HR expertise.
Key Responsibilities- Serve as the initial contact for managers and employees regarding HR Information Systems (Workday) and the onboarding/offboarding process.
- Address HR-related inquiries concerning time off, payroll, Workday, and benefits.
- Facilitate the onboarding process for new hires and coordinate First Day Orientation with local management.
- Ensure the accuracy of employee data in Workday, making necessary updates for job changes, promotions, and other adjustments.
- Manage German employee documentation, including contracts and various correspondence.
- Oversee employee benefits programs, ensuring competitive and cost-effective offerings.
- Communicate payroll changes to the Payroll Specialist for Germany.
- Review local policies in accordance with legislative changes, creating process flows for employee and management clarity.
- Collaborate with immigration specialists on visa applications and relocations.
- Assist employees and management with maternity and paternity leave processes.
- Process monthly and ad-hoc HR invoices within the internal accounting system.
- Manage the exit process, conducting exit interviews, compiling data, and generating reports.
- Foster collaboration and build relationships across various teams.
- Compile regular and ad-hoc people reports for senior management and the broader organization.
- Associate's degree required; Bachelor's degree preferred, along with 2 years of relevant HR experience.
- Proficiency in MS Office applications.
- Experience with HR Information Systems (Workday experience is advantageous).
- Exceptional time management capabilities.
- Strong interpersonal, verbal, and written communication skills.
