Program Coordinator

Become a vital member of our project management division at Ascend Advanced Therapies, overseeing a variety of initiatives aimed at advancing therapy innovation. Our diverse portfolio encompasses internal technology enhancements and quality control laboratory expansion, alongside contracted client projects in starting material and process development, manufacturing, and analytical services, ensuring compliance with pharmaceutical development standards.

As the primary liaison and in close partnership with our Chief Scientific Officer, you will initially spearhead internal initiatives while having the chance to establish optimal operational practices. Your role will involve maintaining comprehensive documentation (including Gantt charts, risk assessments, and dashboards) and orchestrating meetings with stakeholders and subject matter experts, ensuring that project milestones are achieved punctually without hindering critical path activities.

As our project portfolio expands, you will also have the opportunity to assist our business development team in securing new external clients and managing those client-facing projects.

You will coordinate cross-functional teams across various departments within Ascend to develop and deliver projects that meet product and data requirements. Additionally, you will support business development efforts by preparing proposals, promoting our services, and generating new statements of work for existing clients seeking further development or pipeline expansion. Your primary responsibility will be to cultivate productive relationships with matrix teams, ensuring their satisfaction through effective communication and collaboration with the broader Ascend team.

Key Responsibilities:

• Act as the main point of contact for matrix teams and stakeholders from the initial project scoping phase through to final handover, in close collaboration with the Chief Scientific Officer.
• Ensure seamless service continuity and foster integration across Ascend's various sites and departments.
• Implement and uphold best practices in project management for all activities.
• Establish, document, track, and communicate timelines, objectives, deliverables, and budgets.
• Coordinate and prioritize multiple concurrent projects.
• Facilitate problem-solving, contingency planning, and decision-making processes.
• Align strategic goals with operational activities.
• Coordinate cross-functional communication and integration.
• Support business development by generating proposals and identifying opportunities to expand services for existing clients.
• Build and maintain productive relationships with internal stakeholders.
• Ensure timely design and execution of programs to meet stakeholder needs.
• Perform additional activities as assigned during the company's growth phase.
• Establish planning, tracking, and oversight of resource allocation for internal projects.
• Regularly report and trend resource planning against resource usage.
• Quickly respond to changes or issues in project execution and collaborate with involved departments/subject matter experts to keep projects on track.

Qualifications:

• A minimum of a Bachelor’s degree or equivalent in Biological Sciences, Bioengineering, or a related field.
• PMP or equivalent certification is advantageous, but a proven track record of successful project delivery is essential.
• Experience in managing development relationships and projects.
• Experience in managing client relationships with Contract Development and Manufacturing Organizations (CDMOs) is a plus.
• Familiarity with US/EU regulatory requirements is beneficial.
• Exceptional interpersonal and organizational skills.
• Outstanding written and verbal communication abilities.
• Fluency in English is required; proficiency in German is a plus.
• Ability to thrive in a fast-paced, multi-disciplinary corporate environment.
• Understanding of critical path methodologies and rapid prioritization skills.
