Key Responsibilities:
- Oversee the CEO's schedule and correspondence, ensuring effective prioritization and information gathering for informed decision-making.
- Anticipate and address the needs of the CEO, including managing the agenda, preparing pre-briefings, and coordinating travel arrangements.
- Facilitate and organize meetings in collaboration with other administrative professionals, engaging both internal and external stakeholders.
- Coordinate travel logistics and ensure smooth operations for the CEO's engagements.
- Maintain and update distribution lists for effective communication.
- Support event logistics and assist with virtual meetings and presentations.
- Manage the flow of internal and external communications to and from the CEO, including preparing memos for review and distribution.
- Handle various administrative tasks, including phone management, meeting coordination, HR documentation, expense tracking, and office supply management.
- Act as a liaison for IT and facility management needs.
- Foster positive working relationships and serve as a facilitator within the team and with external partners.
- Uphold confidentiality and demonstrate discretion in all matters.
Candidate Profile:
- A degree in business administration or a related field.
- Minimum of 5 years of experience in an administrative or executive support role.
- Proficient in MS Office Suite, particularly MS PowerPoint.
- Fluent in both German and English; knowledge of French and/or Spanish is advantageous.
