We are seeking an Administrative Operations Coordinator (m/w/d) for our expanding business area Global Workplace Solutions (GWS) in a permanent part-time position.

WHAT YOU CAN ACHIEVE WITH US
  • Responsible for ensuring facility management in accordance with the contractually agreed service scope for multiple locations.
  • Administrative back-office tasks (20 hours/week) with regular and intensive client contact, as well as continuous maintenance and enhancement of business relationships.
  • Implementation of standard processes, ongoing improvements, and best-practice methods.
  • Optimization of ongoing and recurring costs (personnel, external and material services, optimization of in-house service depth, and overhead expenditure).
  • Primary point of contact for clients at the location for service providers and suppliers.
  • Accountable for compliance, implementation, and fulfillment of health, safety, and environmental guidelines.
  • Management of external service providers, including obtaining quotes, scheduling, performance monitoring, invoice verification, and processing in the system.
  • Administration of electronic access control as per guidelines.
  • Operational oversight through metrics/KPI management; maintaining and updating company systems.
  • Assistance in creating site budgets; cost and invoice control.
  • Management of procurement processes and inventory.
  • Preparation of internal and external reports.
  • Project management and execution, scheduling, and cost estimation.
  • Supervision of staff.
  • Reception duties and coverage (16 hours/week).
  • Fleet management for company vehicles.
  • Support for employees with various organizational matters.
WHICH STRENGTHS YOU WILL UTILIZE
  • Completed vocational training and proven, substantial professional experience in a comparable role, preferably with experience in the hospitality sector or administrative roles.
  • Several years of experience in an industrial company is advantageous.
  • Strong business acumen.
  • Willingness to travel as needed.
  • Flexibility and ability to initiate change.
  • Capability to critically analyze and improve workflows.
  • Proactivity and self-motivation.
  • High level of reliability and accountability.
  • Strong service orientation and communication skills.
  • Proficient in MS Office.
  • Good command of the English language, both written and spoken.
  • Professional appearance.
