Operations and Finance Assistant

**Responsibilities**:

- Administrative assistance to business unit Managing Partner - budgeting, mobiles, expenses, post
- including filing according to government requirements
- Overseeing and agreeing contracts for providers of services including office supplies, security, parking, cleaning, catering and IT.
- Supervising teams of staff including cleaning, maintenance and security, ensuring that facilities are well-maintained.
- Direct report to the local payroll consultancy, ensuring all staff are paid the correct amount including bonus, holidays and statutory requirements.
- Assist with recruitment, onboarding and offboarding processes
- Updating Employee Handbook with local requirements for benefits
- Coordinate with HR team to run the Mentorship programme locally, and support locally to complete annual wellness benefits.
- Teach holiday and expense entries to new recruits - inductions
- Ensuring all clients are billed in a timely manner according to their contracts - the majority of which are on a retained contract receiving duplicate invoices each period.
- Assistance to employees with expenses and timesheets.
- Management of WIP expenses, through billing or write-off to company cost, maintaining a minimum monthly balance at all times.
- Reviewing Forecast income forward projection system regularly to ensure accuracy and keeping the management team informed about the business results.
- Collection of client debts, liaising with client teams where necessary.
- Entering of all business unit related purchase invoices and credit card statements.
- Management of Purchase Ledger, including fortnightly payment run.
- Daily entry of payments and receipts from bank statement and monthly reconciliation.
- Point of contact for the external accountants, assisting with the audit.
- End of month income reconciliation, liaising with other business units on any potential income/cost transfer, posting accrued/deferred income.
- Reporting all anomalies to the European Finance Director on a weekly basis.
- Teach holiday and expense entries to new recruits - inductions

**Skills and Experience**:
Experience using Netsuite accounting system or Forecast would be an advantage but not essential.
- Understand basic accounting principles, such as accruals and prepayments.
- Experience in posting simple accounting journals.
- Experience assisting HR with employment contracts for new staff and promotional letters.
- Experience with recruitment, onboarding and offboarding processes
- Experience with instructing a payroll agency and understanding of German payroll and tax rules.
- Attention to detail - be able to gather information and act on instructions.
- Confidence to liaise with staff at all levels, and be the focal point for Finn processes and systems.
- Ability to manage multiple work streams and work to deadlines.
- Experience with upkeep of asset tags on equipment and equipment budget planning.
