Role Description: We are seeking a highly organized and proactive individual to join House of Thinking as an Executive Assistant. The ideal candidate will provide comprehensive administrative support to our Chief Thinking Partner, enabling him to focus on strategic initiatives and core responsibilities. This role requires exceptional communication skills, meticulous attention to detail, and the ability to multitask effectively in a fast-paced environment.


Responsibilities:

  • Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize incoming communications, including emails, phone calls, and mail.
  • Prepare and edit correspondence, presentations, reports, and other documents as needed.
  • Coordinate logistics for meetings, conferences, and special events, both on-site and off-site.
  • Conduct research and compile data to support decision-making processes.
  • Anticipate needs and proactively address issues to ensure smooth operations.
  • Serve as a liaison between executive and internal/external stakeholders.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Organize and maintain files, records, and databases in both digital and physical formats.
  • Collaborate with others to streamline processes and improve efficiency.
  • Perform ad hoc tasks and projects, as assigned.


Requirements:

  • Bachelor's degree preferred.
  • Proven experience as an executive assistant or similar role, preferably supporting C-level executives.
  • Proficiency in Microsoft Office Suite and other relevant software applications (e.g., Calendly, Zoom, MS Teams).
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • High level of professionalism and discretion.
  • Ability to work independently with minimal supervision.
  • Flexibility to adapt to changing priorities and deadlines.
  • Strong attention to detail and accuracy.
  • Discretion and respect for confidentiality.
  • Ability to maintain composure under pressure.
  • Willingness to take initiative and go above and beyond to meet the needs of executives and the organization.
