Responsibilities

  • You will coordinate and manage important meetings as well as international events handling complex requirements
  • Acting as major contact person (M/F/d) for various units and stakeholders in the organization
  • Hosting meetings and manage the resulting call of actions using agile digital tools
  • Active involvement in budget planing, controlling and resource planning of the department
  • Administrative support for agenda management, room bookings, travel bookings, travel expenses processing and billing
  • Coordinating the communication activities of the department
  • You bring in new ideas and create department related content to promote its activities (e.g. presentations, videos, blogs)
  • Ensuring a successful on
- and offboarding experience for our team members

  • Supporting the team and the Head of the department in various topics

Qualifications

  • Some years of experience as an Assistant or Secretary (M/F/d) for a team sized over 40 people, incl sub teams
  • Extensive working experience in international teams and complex company structures
  • Experience with agile methodologies, digital tools and the hybrid ways of working
  • Proficient in setting up events virtually and in person for different team sizes
  • Excellent organizational skills in in terms of efficiency and effectiveness
  • Broad experience in handling top management communication and alignment
  • Superb visualization, communication and presentation skills, experience in blogging is a plus
  • Fluent in speaking and writting in German and English language
  • Willingness to travel approx. 2x / month
