Der Geschäftsbereich International Services innerhalb der GIZ (GIZ InS) betreut internationale Kunden wie bspw. zwischenstaatliche Organisationen, Entwicklungsbanken, Regierungen und Privatunternehmen. Hinzu kommen Aufträge für deutsche Regierungsinstitutionen, die über die klassische Entwicklungszusammenarbeit hinausgehen. Dabei handelt InS im Sinne des Leitbildes der nachhaltigen Entwicklung der GIZ. Die Kunden profitieren von 40 Jahren praktischer Erfahrung in der internationalen Zusammenarbeit und von dem Wissen aus über Programmen und Projekten. Für die Region Europa, Mittelmeer, Zentralasien (Sub-Region Deutschland) in der Abteilung Operations bei GIZ International Services suchen wir eine*n Business Support Officer (m/w/d) zur Unterstützung der Projektdurchführung und Projektakquise.
**Ihre Aufgaben**:
Sie unterstützen das Projektmanagement der Region Deutschland bei der Erfüllung aller anfallenden Themen und Aufgaben. In enger Abstimmung mit den Projektmanager*innen, dem Regionalmanager sowie der Regionaldirektion sind Ihre Aufgaben im Einzelnen:
- Unterstützung bei der Qualitätssicherung interner Prozesse zwecks Einhaltung von Qualitätsstandards sowie Wissensmanagement (Pflege IDA-Seite)
- Unterstützung Kommunikationsaufgaben:
- Aufbereiten von Kommunikationsmaterialien bzgl. Projekte Deutscher Öffentlicher Auftraggeber (DÖAG)
- Erstellen von Präsentationen in Bezug auf Portfolio, Factsheets, Projekte
- Kommunikationsmaterialien für interne/externe Kommunikation
- Bedienen der InS-/GIZ-News Channels mit regelmäßigen Infos, Highlights des DÖAG/DE-Portfolios
- Erstellen von Referenzen der DÖAG/DE-Projekte
- Unterstützung beim Prozess
- und Auftragsmanagement:
- GIZ-Systeme bedienen (PBS, ITAMIS, Pipeline-Liste der Region Deutschland)
- Abläufe, Standards kommunizieren und nachhalten
- Auftragsbestätigungsschreiben verfassen und koordinieren
- Unterstützung bei Prognosen und ZAS-Planung
- Teilnahme an den Team-Meetings und Protokoll-Erstellung
- Unterstützung der Projektmanager*innen bei Hintergrundrecherchen zu ausgewählten Themenfeldern und Auftraggebern
- Austausch mit anderen Business Support Kolleg*innen bei InS und mit der InS-Kommunikationseinheit.
**Ihr Profil**:
- Sie haben einen Fachschulabschluss bzw. eine kaufmännische Ausbildung oder ein Studium im Bereich BWL/Business Administration. Sie verfügen über erste Berufserfahrung als Business Support Officer, Project Assistant oder als Management Assistant bspw. in der Consultingwirtschaft in der internationalen Entwicklungsarbeit und kennen idealerweise die Angebotsprozesse von internationalen Auftraggebern.
- Erste Erfahrungen mit dem Auftragsverfahren Deutscher Öffentlicher Auftraggeber sind von Vorteil.
- Sie sind zuverlässig und verfügen über sehr gute Kommunikationsfähigkeiten.
- Durch ein hohes Maß an Integrität, Teamfähigkeit und Dienstleistungsorientierung bearbeiten Sie Schnittstellenaufgaben strukturiert und mit Blick fürs Detail.
- Exzellente Koordinations
- und Organisationsfähigkeit zeichnet Sie aus. Auch unter hohem Druck beweisen Sie Engagement, Vertraulichkeit und Effizienz.
- Sie verfügen über sehr gute Kenntnisse der gängigen Office-Anwendungen.
- Verhandlungssichere Sprachkenntnisse in Englisch und Deutsch sind zwingend erforderlich.
