Job Description
Primary Function of Position
The Senior Manager, Occupancy and Space Planning, EMEA is responsible for overseeing occupany planning and space management for our EMEA properties and their occupants. The Manager will focus on areas such as Space Requests/ Project Intake, Move Planning, Space Programming, and Allocations, Spatial Data Accuracy, and implementing ways of working for the return to work efforts.
As a team leader, the Manager will collaborate on projects with their team and engage with cross-disciplinary staff to develop and implement programs, policies, and processes aligned with our global playbook. You will provide insight into the global design playbook while working within a collaborative environment.
In this role, you will:
Oversee and support 1 planner in occupancy planning, real estate optimization, and workplace design. Manage project intake for the EMEA portfolio, including developing business cases, reporting requests, and communicating with stakeholders. Align space planning efforts with company objectives to maximize efficiency and address key workplace needs. Translate business requirements into space and occupancy plans. Develop and implement workplace strategies to support collaboration, productivity, and company goals. Collaborate with cross-functional teams on workplace planning initiatives, including post-COVID strategies. Identify and implement process improvements for existing programs. Represent the REWS team within cross-functional teams as needed. Provide updates on programs and projects, highlighting key risks and opportunities.Roles and Responsibilities
OCCUPANCY & SPACE PLANNING
Support space utilization across the EMEA real estate portfolio, focusing on efficient facility use and optimization. Responsibilities include:
Ensure spatial data accuracy and that floor plan updates are submitted and reviewed by occupancy planners. Coordinate with the Planning Operations & Data Team for real-time space data and KPIs. Assist in reviewing and updating space programming and allocation annually based on headcount projections and team needs. Maintain the EMEA Master Plan and support forecasting space demand. Collaborate with business units to develop demand models for future space needs using data and assumptions. Update information related to capital projects, new builds, and real estate strategic plans. Track, report, and forecast space utilization using established KPIs. Communicate strategies, policies, and results with stakeholders. Develop occupancy scenario plans and work with internal customers to find innovative solutions to space requests. Manage space allocations among user groups to optimize real estate use and enhance collaboration.Planning & Capital/Expense Projects:
Manage the intake of all space-related projects, both capital and expense. Validate headcount projections and space requirements with customers. Work with the team to develop efficient space programs and collaborate with internal stakeholders for approvals. Partner with Project Management on design management and ensure EMEA projects meet our Design Standards and Guidelines. Assist in selecting service providers and vendors and managing relationships with architects and other consultants. Educate partners on global spacing planning processes and design standards.Workplace Strategy and Design:
Collaborate with the Workplace Strategy & Design team to understand workplace needs and propose strategic changes. Provide insights into workplace efficiency, effectiveness, and employee experience. Support workplace strategy and design efforts in the EMEA region.Move Planning:
Manage relationships with the moves, adds, and changes (MAC) team. Assist in developing block plans and seat assignments for moves. Communicate move plans to stakeholders and support the MAC execution team. Track and report on team and individual moves, as well as new hire seat assignments. Identify opportunities to improve occupancy planning processes and technology.
Qualifications
Skill/Job Requirements:
A bachelor’s degree in engineering or a related field. 5+ years of experience with occupancy planning, space management, and real estate technology platforms. 5+ years of experience in managing space utilization and occupancy planning for commercial buildings. Minimum 5+ years of experience in team leadership with strong organizational planning and resource management skills. Proficiency in MS Office (Word, Excel, PowerPoint), CAFM, Archibus, and data visualization tools like Tableau. Strong analytical skills and excellent business judgment. Effective communication skills, both written and oral. Ability to work well in a fast-paced environment and lead teams in a collaborative manner.
