Programme Assistant(M/F/D)

Your mission : 

  • Prepare the forms and documents, manage external experts assisting, including communication with experts, creation of pools of experts, contracts, monitoring attendance in meetings and preparing statistics ;
  • Process reimbursement claims and expert payments in collaboration with the financial and operational teams ;
  • Disseminate information and support experts concerning administrative aspects, reimbursement, rules of procedure as well as questions related to the relevant IT platforms and business processes ;
  • Provide support for scheduling and organising virtual and on-site meetings such as evaluations, project reviews, meetings of the JU’s Advisory Board, workshops, consultations etc. ;
  • Monitor, answer, dispatch and follow up questions from experts draft and contribute to FAQ documents ;
  • Participate in the organisation of conferences, workshops, experts meetings and similar events;
  • Facilitate the exchange of experience and good practice; feed and manage IT tools related to various actions, including portals and websites ;
  • Monitor relevant functional mailboxes for the R&I team and process emails;
  • Support the team in horizontal tasks, such as aggregating contributions to joint documents, drafting reports, notes and minutes ;
  • Execute any other tasks as deemed necessary in the interest of the service.

 Your profile : 

  • Excellent knowledge of office IT tools (Excel, Word, PowerPoint) ;
  • Experience with EU grants IT tools such as COMPASS, ECS/EMI, Ares is considered as an asset ;
  • Experience in expert management, monitoring and reporting, ideally in the context of the European research programmes ;
  • Knowledge and ideally professional experience with evaluation procedures for grants in an European context ;
  • You are fluent in English (at least C1) ; 

Salary : 

  • 25,61 € gross/hour
