Assistant to the Scientific Executive Director

Your responsibilities:
Organisation, coordination and implementation of administrative work processes and procedures as an integral member of the Assistance Team supporting the Scientific Executive Director of the GFZ Office management, planning and organisation of internal and external business meetings, events, telephone and video conferences Active support work with the preparation of GFZ committee meetings and other governance activities with national and international participants Handling of all spoken and written communication and correspondence with internal staff members and external partners and contact persons in both German (C1) and English (B2) Preparation and follow-up of Board meetings and events (including the preparation of meeting minutes) Planning and organisation of national and international business trips for the Scientific Executive Board
Your qualifications:
Qualification as foreign language secretary (f_m_x) or similar, i.e. commercial or administrative training with proven written and oral secretarial and office work as well as a proof of your English proficiency (at least B2 level) Professional experience in executive assistance or comparable desired Proficient handling of MS Office applications (Word, Excel, PowerPoint, Outlook, SAP) and Adobe tools (Adobe Acrobat) Highly motivated and confident manner, strong organisational and communication skills as well as willingness to work in a team Independent, service-oriented and result-oriented work approach, high flexibility, ability to work effectively under pressure, self-starter and quick learner Pronounced integrity and discretion in dealing with information and contact persons at all levels

Salary: The position is classed as salary group 8 according to “TVöD Bund (Tarifgebiet Ost)”. The salary group is determined on the basis of the Collective Wage Agreement and the respective personal qualifications.
Working hours: Full-time (currently 39 h/week); The position is generally suitable for part-time work.
