Project Management Officer

In this role, you'll work alongside our Group IT Portfolio Manager to coordinate portfolio planning, improve project governance processes, and ensure consistent reporting and communication across a diverse range of IT initiatives. Your responsibilities will include supporting portfolio planning, resource and capacity management, process optimisation, and portfolio-wide reporting. These activities enable informed decision-making and help ensure strong alignment with stakeholders across departments and regions.Support the strategic and rolling planning of the IT project portfolio, including capacity, budget, and scope planning, with regular monthly updates and cross-functional coordinationMaintain and update the central project portfolio list, ensuring alignment with strategic objectives and accurate tracking of KPIs, milestones, risks, and issuesSupport project resource management, including tracking internal and external staffing needs and monitoring contract compliance for external service providersAssist with project initiation, including the preparation of project proposals and coordination of approval workflowsDrive continuous improvement of project and governance processes across Group ITGuide project managers in following established project processes and reporting standardsOrganise and maintain project documentation and reporting repositories to ensure consistency and accessibilityCollect and review monthly project reports, ensuring data accuracy and consistency across the portfolioPrepare clear, actionable summaries and dashboards for the monthly portfolio review boardCapture and document key outcomes and decisions from meetings and review boardsCoordinate communication around major IT initiatives, ensuring alignment with broader IT communication strategiesFacilitate alignment and collaboration across departments to support effective portfolio executionAct as a primary contact for the operational aspects of the IT project portfolioWhat we expect of you:Practical experience supporting IT project planning, reporting, and resource coordination, preferably within a PMO or central project organisationExperience using project and portfolio management tools (e.g. Microsoft Project, Smartsheet, Planisware, or Wrike) to support multi-project planning, tracking, and reporting#Preferred certification in Project Management (e.g. PMP) or Portfolio Management (e.g. PfMP)Proven ability to manage timelines, organise project documentation, and support process adherenceFamiliarity with portfolio governance practices, including KPI tracking, milestone monitoring, risk and issue management, and documentation control within structured approval workflowsAbility to prepare clear reports, dashboards, and meeting documentation to support cross-functional alignment and senior stakeholder communicationStrong coordination skills with the ability to communicate clearly and effectively with diverse stakeholdersAbility to work effectively in a complex collaborative, matrix environment with virtual teams in a multi-cultural / geographically diverse environmentStrong problem-solving and troubleshooting skills, with the capacity for mature judgment in challenging situationsA strong command of spoken and written English is a must, and knowledge of German is a plusImportant: Please be aware that a valid work and residence permit is required for non-EU applicants for this position.
