We have an exciting opportunity for you as:

Specialist Project Support (all genders welcome) within Kia Europe Headquarters in Frankfurt/Main, Germany.

Job Mission:

As a Specialist Project Support, you will provide high-level executive support that ensures the seamless operation of day-to-day activities for C-level executives. Furthermore you will assist special projects, research, and data analysis as requested. The successful candidate will serve as a trusted partner, ensuring accuracy and efficiency in all tasks while fostering smooth collaboration across internal and external stakeholders.

Your Responsibilities:

The following are main tasks and main responsibilities but not limited:

  • Coordinate and support meetings, including preparing agendas, taking minutes, and following up on action items.

  • Organize and prioritize incoming requests, emails, and phone calls to streamline workload.

  • Monitor and track budgets, expenses, and reimbursements relevant to executive activities.

  • Manage complex calendars, schedule appointments, meetings, and travel arrangements for C-level executives.

  • Consolidate, proofread, and distribute reports, presentations, and other documents with high attention to detail.

  • Assist with special projects, research, and data analysis as requested.

  • Serve as the primary point of contact between executives and internal/external stakeholders, ensuring effective communication and timely responses.

Your Talents:

Education:

  • Bachelor's degree is preferred but not mandatory depending on experience.

Experience:

  • Proven experience in executive or project support function working for C-level executives in a fast-paced, diverse environment.

Skills:

  • Exceptional organizational abilities.

  • Strong written and verbal communication skills.

  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) as well as collaboration and AI tools (e.g., Teams, ChatGPT).

  • Ability to exercise sound judgment and maintain confidentiality.

  • Detail-oriented with strong problem-solving skills.

  • Ability to work independently and anticipate upcoming tasks.

  • Fluent in English (written and spoken), suitable languages advantageous.

  • International mindset.
