We're looking for a highly organised and proactive Production Assistant to join our team

Based in London and Berlin, BSI Merch is the UK's leading independent music merchandise company and supplies artist-branded products to multiple channels of sales and distribution globally. Such channels include Production, E-Commerce and Touring.

This role is central to the operations and touring side of the business - you'll support the EU Production Manager and the wider team by managing suppliers, coordinating logistics, and ensuring every product makes it from concept to delivery on time and to spec.

This is a full-time, 5 days per week position, based in our Berlin office (09:00 – 17:00).

Tasks
  • Manage the full workflow from manufacturing through to delivery
  • Maintain the internal quoting system, ensuring no invoices or deliveries are outstanding
  • Oversee the order schedule for touring and e-commerce projects
  • Work closely with the design team to ensure product specs and proofs are accurate
  • Process sales orders, purchase orders and invoices
  • Source and build relationships with reliable suppliers across screen printing, embroidery, and custom garment development
  • Negotiate costings with suppliers and clients, and track stock levels
  • Coordinate merchandise logistics for tours, including delivery splits, restocks and reporting
  • Liaise directly with tour personnel to provide accurate, up-to-date information on all production projects
  • Plan ahead for upcoming touring projects and ensure smooth execution
  • Step in to cover key responsibilities for the EU Production Manager during annual leave
Requirements
  • Excellent written and verbal communication skills
  • Strong multitasking skills with exceptional attention to detail
  • A proactive, problem-solving mindset and ability to work independently or as part of a team
  • Flexibility - we're a touring-based business, so out-of-hours communication may be required in order to hit certain deadlines
  • Ability to perform under pressure and meet tight deadlines calmly and professionally
  • Confident communicator with both clients and suppliers
  • Proficiency in MS Office, Teams, and wider IT tools
  • Knowledge of CRM and supply chain systems
  • Numeracy skills with experience in raising purchase orders and invoices (preferred)
  • Experience or understanding of music artist touring is highly desirable
  • A genuine passion for music and live events
