Job Overview
We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to our executive team. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with precision and professionalism. Responsibilities
- Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with attention to detail.
- Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing itineraries for executives.
- Handle incoming calls with professionalism using multi-line phone systems and phone etiquette, screening and directing inquiries as needed.
- Prepare, proofread, and transcribe documents, emails, reports, and correspondence with accuracy and clarity.
- Organize files both electronically and physically through efficient filing systems to ensure easy retrieval of information.
- Support event planning activities by coordinating logistics for meetings, conferences, or company events.
- Assist with bookkeeping tasks using QuickBooks or similar software, including data entry and basic bookkeeping responsibilities.
- Conduct office management duties such as ordering supplies, maintaining office equipment, overseeing front desk operations, and managing office inventory.
- Provide executive administrative support through project coordination, task prioritization, and deadline management.
- Maintain confidentiality of sensitive information while demonstrating excellent discretion at all times.
- Perform clerical duties such as data entry, proofreading documents for accuracy, transcription of audio or written content, and filing essential records.
- Support customer service efforts by addressing inquiries professionally via phone or email and ensuring a positive experience for clients or visitors.
Experience
- Proven experience as a Personal Assistant or in an administrative support role within an office environment.
- Demonstrated expertise in office management tasks including filing systems, front desk responsibilities, and data entry.
- Strong proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace (Gmail, Docs), and familiarity with DocuSign for electronic signatures.
- Experience with QuickBooks or other bookkeeping software is preferred but not mandatory; strong organizational skills are essential regardless.
- Excellent typing speed combined with meticulous proofreading abilities to ensure error-free documents.
- Skilled in project coordination with the ability to multitask effectively across various assignments simultaneously.
- Exceptional phone etiquette skills coupled with experience managing multi-line phone systems confidently.
- Knowledge of calendar management tools such as Microsoft Outlook Calendar is highly desirable.
- Prior experience supporting executives or senior management is advantageous but not required; a proactive attitude toward learning is key.
