Key Responsibilities

• Proactively manage the full immigration process for a portfolio of clients, in line with agreed procedures and across all types of work and residence permits, ensuring client needs are consistently met;
• Prepare, submit, and follow up on work and residence permit applications;
• Ensure compliance with German immigration regulations; coordinate solution-oriented immigration processes and monitor deadlines;
• Effectively and efficiently inform all stakeholders of the necessary immigration steps to be taken;
• Work in a structured, proactive, and precise manner, while managing expectations appropriately;
• Maintain complete and accurate files and templates in the system and execute all tasks with precision, including timely billing;
• Serve as the go-to person for junior staff;
• Proactively identify and drive areas for development within the immigration team;
• Coordinate VIP cases;
• Communicate effectively with immigration authorities;
• Support risk management checks for new and ongoing clients.

Required Profile

• Bachelor's degree or equivalent;
• Preference is given to lawyers admitted to practice in Germany;
• Minimum of 3 years' professional experience in an international environment, preferably in immigration; alternatively in HR, International Mobility, or Customer Service;
• Strong written and verbal communication and interpersonal skills;
• Excellent analytical abilities and attention to detail; ability to prioritize workload and meet deadlines;
• Team player with a positive attitude;
• Experience in training and supporting other staff members;
• Client-service focused, responsive, with a proactive, open-minded, and solution-oriented approach;
• Strong organizational skills, proactive mindset, and a clear understanding of confidentiality requirements;
• Fluent in German and English, with excellent writing skills; additional languages are an advantage;
• German or EU nationality, or valid German work and residence permit.

Aufgabenbereich

• Eigenverantwortliche und proaktive Betreuung des gesamten Einwanderungsprozesses für ein Mandantenportfolio – entsprechend der vereinbarten Verfahren und für alle Arten von Arbeits- und Aufenthaltstiteln – mit dem Ziel, die Mandantenbedürfnisse jederzeit sicherzustellen;
• Vorbereitung, Einreichung und Nachverfolgung von Anträgen auf Aufenthaltstitel;
• Sicherstellung der Compliance in Deutschland im Hinblick auf Einwanderungsverfahren;
• Koordination lösungsorientierter Verfahren und Überwachung von Fristen;
• Unterrichtung aller Beteiligten über die jeweils erforderlichen Schritte im Einwanderungsverfahren in sachgerechter und nachvollziehbarer Weise Verfolgt eine strukturierte, proaktive und präzise Arbeitsweise und stellt ein realistisches Erwartungsmanagement sicher;
• Vollständige und korrekte Pflege von Akten und Vorlagen im System; präzise Ausführung aller Aufgaben, einschließlich fristgerechter Rechnungsstellung;
• Ansprechpartnerin ("go-to person") für weniger erfahrene-Mitarbeiterinnen;
• Proaktive Identifizierung und Umsetzung von Weiterentwicklungsmöglichkeiten innerhalb des Immigration-Teams;
• Koordination von VIP-Fällen;
• Effektive Kommunikation mit den zuständigen Behörden;
• Unterstützung bei Risiko- und Compliance-Prüfungen für neue und laufende Mandate.

Anforderungsprofil

• Abgeschlossenes Hochschulstudium (Bachelor oder gleichwertiger Abschluss);
• Bevorzugt werden Anwältinnen/Anwälte, die in Deutschland zugelassen sind;
• Mindestens drei Jahre Berufserfahrung in einem internationalen Umfeld, vorzugsweise im Bereich Immigration, alternativ in HR, International Mobility oder Customer Service;
• Ausgeprägte schriftliche und mündliche Kommunikationsfähigkeit sowie sicheres Auftreten im persönlichen Umgang;
• Ausgeprägte analytische Fähigkeiten und Detailgenauigkeit; hohe Fähigkeit zur Priorisierung und Einhaltung von Fristen;
• Teamfähigkeit und positive Arbeitseinstellung;
• Erfahrung in der Einarbeitung und Schulung anderer Mitarbeitender;
• Klare Serviceorientierung, hohe Reaktionsfähigkeit sowie eine offene, lösungsorientierte "Can-do"-Mentalität;
• Sehr gute Organisationsfähigkeit, proaktives Arbeiten sowie ein ausgeprägtes Verständnis für Vertraulichkeit;
• Fließende Deutsch- und Englischkenntnisse in Wort und Schrift; zusätzliche Sprachkenntnisse sind von Vorteil;
• Deutsche oder EU-Staatsangehörigkeit oder gültiger deutscher Arbeits- und Aufenthaltstitel.
