is responsible for supporting office operations through a combination of administrative tasks and data management functions. Key Responsibilities:
- Data Entry & Database Management
: Accurately enter, update, and maintain data into internal databases, spreadsheets, or other digital platforms. Ensure that data is correctly formatted and organized for easy retrieval. - Administrative Support
: Perform general office duties, including answering phone calls, managing emails, scheduling appointments, and organizing meetings. Handle day-to-day administrative tasks such as filing, photocopying, and document preparation. - Document Management
: Organize and maintain both physical and electronic filing systems for easy access to important documents. Ensure that records are accurate and up-to-date, including sensitive or confidential information. - Communication Management
: Handle incoming and outgoing communications, including phone calls, emails, and physical mail. Serve as a point of contact for clients, vendors, or staff, addressing inquiries promptly or redirecting them to the appropriate person. - Report Generation & Analysis
: Create reports or summaries of data entered into systems for review by managers or department heads. Assist in analyzing data to identify trends or anomalies that need attention. - Schedule Management
: Assist with managing the calendar of executives or departments, scheduling meetings, conference calls, and events. Ensure that all appointments are properly coordinated and follow-up actions are taken as necessary. - Office Organization
: Manage office supplies and equipment inventory, ordering new supplies when necessary and ensuring that the office is stocked with necessary materials to run efficiently. - Customer Service & Visitor Support
: Greet visitors, clients, or vendors in a professional manner, ensuring a welcoming environment. Assist with any customer service requests or administrative inquiries as needed.
Qualifications:
- Educational Background
: A high school diploma or equivalent is typically required. An associate's degree or certification in business administration, office management, or a related field is an asset. - Technical Skills
