Role Description
The Assistant Project Manager supports the Project Manager in planning, executing, and delivering projects within defined scope, timeline, and budget. This role involves coordinating tasks, managing documentation, and communicating with internal teams, clients, and vendors to ensure seamless project execution. The Assistant Project Manager helps monitor project progress, identify risks, and ensure adherence to organizational and client standards. The ideal candidate is organized, proactive, and detail-oriented, with strong analytical and communication skills. This position provides valuable exposure to project management methodologies and offers a pathway toward becoming a certified and independent project leader.
Key Responsibilities
- Assist the Project Manager in planning, organizing, and executing project activities from initiation to completion.
- Coordinate project schedules, tasks, and resources to ensure deliverables are achieved on time and within scope.
- Prepare and maintain essential project documentation, including timelines, budgets, progress reports, and meeting minutes.
- Support communication between clients, vendors, and cross-functional teams to ensure clear alignment and efficient information flow.
- Help identify project risks and issues, propose mitigation strategies, and track resolution progress.
- Monitor project costs and assist in financial tracking, procurement coordination, and invoice processing.
- Participate in meetings, presentations, and status updates to ensure stakeholders remain informed of project progress.
- Ensure project compliance with company procedures, quality standards, and safety regulations.
- Assist in reviewing project specifications, technical drawings, and documentation for completeness and accuracy.
- Collaborate with internal teams, including engineering, design, procurement, and operations, to support successful project delivery.
- Contribute to the improvement of project management tools, templates, and reporting systems.
- Support project closure activities, including documentation handover, lessons learned, and post-project reviews.
Qualifications
- Bachelor's degree in Project Management, Engineering, Construction Management, Business Administration, or a related field.
- 1–4 years of relevant experience in project coordination, project support, or assistant project management roles.
- Basic understanding of project management methodologies (Agile, Waterfall, or PMI frameworks).
- Proficiency in project management tools such as Microsoft Project, Asana, Trello, or Primavera.
- Strong organizational, analytical, and problem-solving skills.
- Excellent communication and interpersonal abilities for effective stakeholder coordination.
- Ability to multitask and work effectively under pressure in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Attention to detail with a focus on quality, accuracy, and accountability.
- Knowledge of budgeting, scheduling, and procurement processes is a plus.
- Certification or progress toward CAPM, PMP, or PRINCE2 is advantageous.
- Fluent in English, both written and spoken; additional language proficiency is beneficial.
