- For the next possible date we are looking for reinforcement in the form of a

**Coordinator StratOps (M/F/d)**
- In temporary employment / Part-time (50%)

Your tasks
- Serves as a primary contact for the StratOps Leadership Team (and for selected dotted-line reports), reporting into the Head of StratOps, and coordinates ongoing processes for the team
- Supports the Head of StratOps in all administrative aspects
- Ensures internal service standards are met when coordinating work within and across departments
- Supports further managers (direct reports and selected dotted-line reports) in close alignment with the Head of StratOps

Responsibilities include, but are not limited to:

- Manages calendar of the manager and selected direct reports
- Screens and acts on incoming phone calls, postal mails; provides service
- Arranges travel & logistics for the manager and selected direct reports
- Coordinates internal and external meetings and workshops (such as StratOps Leadership Team Meetings, Business Review Meetings, Expert-workshops, meetings) arranges travel, meeting arrangements, visitor accommodations
- Be point of contact for international guests
- Coordinates projects and team events
- Provide guidance and orientation to the StratOps Department and Leadership Team members
- Ensures timely payment (coding, approval, forwarding of invoices) of expenses
- Ensures timely coordination of department members' administrative needs
- Organizes meeting rooms, including logistics, catering and equipment needs
- Prepares agendas, takes and completes leadership meeting minutes; coordinates distribution and follows up on action items
- Independently responds to routine correspondence, determines best approach and presentation when preparing and formatting correspondence, memoranda, reports and presentations
- Facilitates efficient flow of cross-functional information and co-operation with other departments in the organisation
- Coordinates personnel service providers and ensures correct documentation
- Runs statistics, reportings & orders and prepares presentations where required
- Responsible for StratOps budget
- Ensures all actions are in line with our client´s SOPs, internal processes & guidelines

Your qualifications
- Strong identification with our client’s values
- High school diploma
- Experience in secretarial/office administration and in management assistance
- Experience in coordinating projects
- Strong and assertive personality with the ability to think and act in advance
- Strong interpersonal skills, be a team player and be willing to work in an environment where individual initiative and accountability to the team are required
- Act as an owner and wear the “StratOps hat”
- Effective communicator: excellent interpersonal and writing skills, motivation, flexibility and diplomacy
- Ability to handle multiple tasks and to prioritize. Strong organizational skills
- Experience and knowledge (terminology) in the pharmaceutical area and health care environment
- Good knowledge of processes in a pharmaceutical company
- Extensive Word, PowerPoint and Excel skills, preferred: data base skills
- Ability to manage complex communication and to establish lasting working relationships with internal and external partners
- Excellent soft skills: be trustworthy, be loyal, act souveran, treat everybody equally, be diplomatic
- Can work within a team and also independently
- Fluent English and able to work in an international environment
