**Facility Coordinator - via Four FM/Wisag** Step into a unique role at the Berlin office of one of the world’s most influential music and audio companies. You’ll be part of a vibrant, creative workplace, supported by Four FM’s international team and their expertise in delivering first-class Facility Management solutions. In partnership with Wisag, a leading Facility Management company in Germany, we are seeking a proactive Facility Coordinator with a good understanding of technical operations, who will ensure smooth operations, financial accuracy, and an inspiring workplace experience. In this role, you will act as the central link between us the client and the suppliers. You will carry overall responsibility for ensuring that the facility runs smoothly and meets contractual requirements — with a strong focus on operational excellence, supporting technical aspects of facility operations, financial accuracy (including invoicing and purchase order management), and supplier coordination. Your workdays will be varied, combining technical, administrative, project-based, and cultural tasks. You will manage the budget and be accountable for results, while also ensuring a high-quality workplace experience for the client. You will also play an important role as a cultural ambassador, bringing employees together and strengthening the workplace atmosphere. **Responsibilities**️ - ** Overall responsibility** for on-site facility operations, including budget, results, inspections, and reporting. - **Monitor and support technical facility operations**, including maintenance coordination, inspections, and compliance with safety and building standards. - **Main point of contact** for client, suppliers, Wisag, and Four FM, ensuring smooth daily coordination. - **Supplier and contractor management**, including bookings, permits, certificates, and improvement projects. - **Work Order and project management,**through digital reporting systems, with follow-up and documentation. - **Financial follow-up, quoting, invoicing, and purchase order management** in line with contractual requirements. - **Event and cultural activities planning**, acting as a workplace ambassador to strengthen community. - **Continuous improvement & safety**, driving contract growth opportunities and reporting safety observations. - **Occasional travel** to support smaller offices in Hamburg and Düsseldorf. **Who we are looking for** You are a proactive and service-minded professional who thrives in a dynamic environment and enjoys creating a positive workplace experience. You combine strong communication skills with structure and problem-solving ability, and you’re comfortable balancing both operational and people-focused tasks. **We believe you bring**: - Relevant experience in a similar role, with proven background in facility and/or technical operations management within a corporate or commercial environment. - Strong skills in coordinating with multiple stakeholders (clients, suppliers, contractors). - Good understanding of technical facility services and building systems (e.g., HVAC, electrical, safety systems). - Solid digital skills with productivity and collaboration tools (e.g., Google Workspace, Microsoft 365). - Experience with invoicing, purchase order management, supplier coordination, and occupational health & safety. - Confidence in managing events and acting as a cultural ambassador at the workplace. - Fluency in English and German (spoken and written). - A valid B-class driving license. **Employment & working hours** Full-time, Monday to Friday. Permanent employment.
