The role will support the Commercial Operations Department Head as well as the department in all relevant projects all relevant, European projects and team communication strategies.

**Roles & Responsibilities**:

- Project coordination for Commercial Operations Europe Teams at Munich Headquarters - coordination of appointments, telco and webconferences, organisation of business trips (CWT), travel expenses, external and internal meetings and events
- Correspondence with international partners and affiliates
- Independently managing calendars as well as scheduling and confirming internal and external appointments including ordering catering and booking of meeting rooms
- Preparation of various excel files - sales data of business partners and powerpoint presentations related to management team meetings or special projects of department head
- Manage all departmental financial project related tracking, reconciliation, reporting and processing in SAP and related tools
- Preparing and generating of purchase requisitions (BANF) in SAP, tracking, process monitoring
- Supporting month-end, quarterly and year-end close financial processes and reporting
- Posting goods receipts/service performances and monitoring of project milestones plus adapting finance planning to actual project status
- Invoices review and processing, dealing with vendors
- Support of preparation and review of cost planning and phasing; Compilation and reporting of accruals in cooperation with the Project Managers
- Administrative contract management
- Back-up for colleagues (e.g. during holiday periods)
- Support in new projects, as well as ongoing projects, ensure accurate follow-up & timely adaptations of plans/milestones where needed
- Developing and further optimization of internal processesEnd-to-end responsibility for delivering internal events: planning, vendors onboarding, budget compliance and execution of events in collaboration with Project Managers
- Supporting new colleagues in settling down

**Education & Professional Experience**:

- Business Management Education such as certified business expert (kaufmännischer Fachwirt / Industriekaufmann/frau), certified business economist (Betriebswirt), or equivalent.
- Experience of at least 2 years in business management functions in mid-sized companies, authorities or associations
- Good Business management/project management skills
- Very good English skills (fluent knowledge of the spoken and written word)
- Good oral and written communication skills
- Good knowledge/understanding of financial/accounting processes and administrative/organisational procedures and systemsGood interpersonal skills, team-player behaviour
- Good organizational skills
- Independent and goal oriented working approach
- Great attention to detail and focus on flawless execution
- Capable to manage multiple tasks in parallel
- Demonstrates initiative
- Flexible and works well even under pressure
- Good interpersonal skills, team-player behaviour
- Good knowledge of Microsoft Office products (Word, Outlook, Excel, MS Project, Power Point)
- Very good knowledge of SAP system to support the internal requirements from DSE Finance
