PURPOSE & OVERALL RELEVANCE FOR THE ORGANIZATION
- Support the VP and deliver a high service mentality to ensure effective and efficient organization in the department.
KEY RESPONSIBILITIES
- Take charge of routine correspondence to ensure timely and accurate response
- Format, type and edit a variety of material, including correspondence, memos, minutes, reports and confidential material
- Schedule and organize internal and external meetings/conferences
- Coordinate and execute travel arrangements and support the entire Retail&Franchise team (e.g. flight and hotel booking, Visa)
- Support to complete travel expense reports
- Handle the department cost-center, including regular monitoring for budgets, approval of invoices to ensure correct accounting transactions
- Maintain and update templates, department files and Organizational charts and assist in creating/revising of presentations
- Assist in and coordinate projects and assignments as requested/directed
GENERAL TASKS
- Order office supplies and administrate the shopping platform
- Coordination and administration of investment requests (budget management)
- Support the on boarding of new team members (workspace, hardware supply, master data maintenance, access rights, office supplies, etc.)
- Supporting office setups and moves within HQ
- Understands and provides information about standards, processes and policies
- Support the teams in day to day business

- Very good communication skills
- Fluent in written and spoken English is a must. Another language is a benefit
- Very good organizational skills and basic project management skills
- Progressed working knowledge of Microsoft Office (particularly Excel, PowerPoint, Word, Outlook) and affinity for tools
- Excellent PC software skills
REQUISITE EDUCATION AND EXPERIENCE / MINIMUM QUALIFICATIONS
- +3 years of experience
- Experienced in job and fully qualified/trained
- Combined theoretical and practical knowledge incl. company policies and practices
- Basic knowledge in related job areas
