Reporting to the local management team, the receptionist and administrative assistant is a vital member of the IK Munich team, providing flawless service to both internal and external clients.Main ResponsibilitiesPerform front of house duties such as welcoming visitors, screening and directing calls. Day-to-day running of the office and liaising with suppliers and service providers accordingly (orders, checking invoices with actuals, cleaning company).Travel management planning and coordination (multiple schedules and time zones), accommodation, transfers, door-to-door itineraries - primarily for one Operating Partner.Assist in the planning and preparation of meetings and video conferencesTraditional support and administrative duties, including expense processing (Concur system), meeting and document preparation and any further ad-hoc requestsProactive calendar coordinationManage office and kitchen supplies, the meeting rooms & common areas to ensure all remain clear and organisedOrganise / coordinate team and office eventsAct as a gate keeper, screening calls and meeting requestsInteractions across the group, liaising with various teams and levels of seniority.Required skills and experiencePrevious experience in a similar roleService orientated with a passion for providing the highest level of workProfessional can-do attitude with exception attention to detail Excellent written and verbal communication skills, in both English and GermanExcellent organisational skills, planning and prioritisation Proactive, adaptable and the ability to work independentlyAbility to maintain confidentiality and discretion always Fully competent in Microsoft OfficeOur OfferingJoint split between Front of house and Assistant supporting duties for Senior Members of the teamPart time permanent role, 5 days per week. 9am- 3:30pm (30hrs)Dynamic and supportive working environment with on-the-job and online training providedOpportunity to work with colleagues in a diverse and inclusive working environmentInsight into the workings of a leading European private equity firmHoliday, Gym, LunchStart date Mid January
