Job Description

The ideal candidate will be a self-starter with strong organizational skills, excellent communication abilities, and a knack for multitasking as the Office Manager of our German Branch. This role oversees daily operations, manages administrative tasks, and provides essential support to staff across various departments.

Responsibilities
  • Office Operations: Ensure efficient and smooth day-to-day functioning of the office, including managing office supplies, facilities, and equipment. Handle incoming mail, as well as mail distribution and dispatch.
  • Administrative Support: Provide administrative support to the team, including calendar management and meeting coordination.
  • Accounting & General Service: Oversee basic accounting functions such as checking invoices from providers and monitoring rents and car leasing.
  • Event and Meeting Preparation: Assist in planning, organization, and follow-up of internal and external events that take place in the office.
  • HR Support: Assist HR coordinator on safety training and related procedures and coordinate onboarding for new hires.
  • General Office Maintenance: Liaise with vendors and service providers to ensure a safe, productive, and well-maintained office environment.
Requirements
  • Strong organizational and multitasking skills, prioritizing tasks and meeting deadlines.
  • Excellent communication skills.
  • Proficiency in MS Office.
  • Basis understanding of accounting principles and experience managing office budgets is a plus.
  • High level of professionalism, discretion, and attention to detail.
  • Ability to work both independently and as part of a team.
  • Excellent written and verbal skills in English and German.
