Job Summary

The Classroom Administrator is responsible for coordinating and scheduling arrangements for the delivery of training programs, events, and workshops, including all logistical support. This role requires managing and coordinating multiple tasks and detailed activities in a time-intensive work environment.

Key Responsibilities
  • Meet and greet responsibility, perform on-ground activities, open classrooms, and post signage.
  • Coordinate onsite activities, ensuring rooms are set up correctly and have the necessary equipment.
  • Arrange training materials, manuals, hand-outs, and other instructional aids.
  • Arrange for equipment setup, videos, entertainment, and other logistical requirements.
  • Order, prepare, and ship printing material, kits, and other necessary items.
  • Maintain first aid kits and ensure a safe working environment.
Skills and Experience
  • Ensure onsite training event activities are performed as per the established Event Readiness Process/System.
  • Coordinate with Tool Services to support instructor and training area requirements.
  • Ensure Event Facilities are set up correctly and have the necessary equipment.
  • Communicate with instructors and outside vendors in both written and spoken correspondence, with a preference for local language proficiency.
  • Support the facilitator and ensure they have the required access to the facility.
  • Interface with local suppliers and communicate with internal and external vendors.
  • Order, prepare, and ship printing material, kits, and other necessary items.
  • Open classrooms and post signage.
  • Arrange for training materials, manuals, hand-outs, and other instructional aids.
  • Manage training logistics, including room booking, tools, access, and other requirements.
  • Share detailed information with participants and trainers in advance.
  • Participate in the kick-off of the program, administer essential program briefings, and calibrate with the speaker and stakeholders.
  • Ensure activation of registration link, roster, and logistic management on the Learning Management System (LMS).
  • Communicate with internal and external vendors.
  • Maintain attendance records and feedback sheets, issuance of certificates, and other administrative tasks.
  • Calibrate with the offshore team for any changes or updates in the training event or program.
  • Ensure smooth running of events as per the Program/Course Metadata in the CRM.
