Administrative Support Specialist

About the Role
The Université du Luxembourg is seeking a highly skilled Administrative Support Specialist to join its Research Department. As an Administrative Support Specialist, you will provide high-level administrative support to the entity on core processes, perform tasks within standards, and set up procedures to contribute to effective and efficient support to and execution of activities related to the Research Support Department.
Key Responsibilities
- Assist the Head of the Research Support Department with all administrative aspects of the organization and coordination of the Research External Evaluation and CRIS implementation
- Coordinate and process purchase orders and expenditures declarations, follow up on invoices and reimbursement of expenses
- Organize internal and external appointments, meetings, and events for activities related to transversal projects managed by the Department
- Update files, databases, and other document types. Maintain complete and efficient records via electronic system
Requirements
- Higher Education degree in secretariat or high school degree and equivalent professional experience in a comparable role
- 3 to 5 years of hands-on administrative support experience
- Fluency in English and German is essential, French would be an asset
