Facilities Operations Manager

Every piece of kit is inspected carefully by our product specialists and comes with a six-month warranty to give our customers peace of mind that buying used doesn't mean sacrificing reliability.

The Role
The Facilities Operations Manager oversees the security and upkeep of our Berlin office and CCC, ensuring all health and safety protocols are in place for staff. This role works closely with the People and IT teams to ensure smooth operations and compliance with regulations.
Main Responsibilities
- Maintenance Scheduling and Management:
- Develop and implement preventative maintenance programs for CCC and office infrastructure.
- Schedule and supervise regular maintenance and repairs, keeping stakeholders informed of any disruptions.
- Address and manage unexpected maintenance issues promptly and efficiently.
- Security Management:
- Oversee the security of the Berlin premises.
- Manage and monitor security systems, including surveillance cameras, security policies, and alarm systems.
- Develop and enforce security policies and protocols.
- Coordinate relationships and communication with security providers.
- Collaborate with Inventory Teams on stocktakes and case resolutions.
- Reinforce the Bag Policy by addressing individuals who fail to leave bags in lockers.
- Main point of contact for security calls and emergencies.
- Perform regular audits and spot checks, reviewing security footage and logs for potential breaches.
- Manage the fob system for new hires, departures, and lost cases.
- Oversee end-of-day inspections to ensure consistent execution.
- Health and Safety Compliance:
- Ensure the Berlin site complies with health and safety regulations.
- In collaboration with the Office Manager, organise yearly Health and Safety audits, first aid training, and follow-up action points.
- Conduct annual Fire Risk Assessments, training, and policy updates, as well as bi-annual fire drills.
- Develop and implement safety policies and procedures.
- Manage DSE requests and assessments according to procedure.
- Take ownership of charging battery cabinets for the Operations team.
- Contractor Coordination:
- Coordinate external contractors, landlords, and service providers.
- Keep stakeholders informed about ongoing work and potential operational impacts.
- Supplies Replenishment:
- E nsure the Berlin CCC is adequately stocked with daily operational supplies.
- Assist the People Team and IT with setting up new starters' equipment and welcome packs.
- CCC Organisation:
- Maintain high standards of hygiene and tidiness at the Berlin CCC.
- Manage communication with waste disposal and recycling partners.
- Ensure CCC areas comply with health and safety regulations and internal policies.
What You'll Need
- Strong knowledge of health and safety regulations and compliance.
- Excellent organisational and time-management skills.
- Proven ability to develop and implement security policies and procedures.
- Exceptional communication and interpersonal skills.
- Proficiency in managing and monitoring security systems.
- Ability to take initiative and work independently.
- Fluent English and C1 level proficiency in German.

- Prior experience managing security provider relationships.
- Background in contractor coordination and facilities management.
- Proven track record of conducting health and safety inspections and audits.
