IT Order Management Specialist

We are seeking a qualified Order Management Coordinator - IT (m/f/d) to oversee and streamline our order processes.

Position Overview:
  • Contract Confirmation: Responsible for sending confirmations to clients post-acceptance of cost agreements, ensuring contract finalization.
  • Order Status Monitoring: Generate periodic reports detailing the status of orders, keeping clients informed throughout the process.
  • Procurement Management: Develop procurement requests for external services and suppliers related to client orders.
  • Order Coordination: Decompose overall orders into specific tasks and liaise with relevant departments for execution.
  • Execution Oversight: Supervise order execution, ensuring quality standards and deadlines are met until completion.
  • Escalation Procedures: Promptly address any quality or deadline deviations by initiating necessary escalations.
  • Collaboration with Account Management: Keep account managers updated on order statuses, particularly regarding any planning discrepancies, invoicing issues, and escalations, while discussing required actions.
  • Post-Completion Client Confirmation: After order completion, secure client confirmation and communicate the results to all relevant stakeholders.
Required Qualifications:
  • Educational Background: Completed commercial or technical training or equivalent qualifications, along with a minimum of three years of relevant professional experience in administrative roles, reporting, and documentation.
  • Technical Skills:
    • At least three years of professional experience in the specified areas.
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
    • Minimum one year of experience with CRM systems.
    • Experience with ITSM tools is preferred, ideally with USU Valuemation.
    • Familiarity with creating meeting minutes and status reports, as well as deadline management.
  • IT Knowledge: Practical experience or theoretical understanding of IT domains (databases, operating systems, networks, IT projects) and an ITIL Foundation certification.
  • Administrative Experience: Background in public administration is a plus.
