Conference Support Specialist

About the Role
This is an exciting opportunity to join the EMBL team as an Event Coordinator, supporting the delivery of events and conferences. As a key member of the CCO team, you will be responsible for ensuring the smooth execution of events, from preparation to on-site coordination.
Key Responsibilities
- Support the CCO Events Coordinator in carrying out tasks essential to event delivery, including service orders, production of conference materials, venue preparation, and speaker contact sheets.
- Assist with the creation, population, and upkeep of event websites via content management systems.
- Carry out assigned financial and organizational processes related to conferences and courses.
- Support on-site event coordination and provide assistance during events, including working at the event reception desk.
- Work closely with the CCO Administrator to provide additional administrative support for the CCO team, including handling enquiries, inventory, and liaison with internal services.
- When required, work with customer relationship management databases and other events software on assigned tasks related to event registration, reviews, abstracts, and other processes.
Requirements
- A minimum of 12 months of office experience or internship/student job.
- Working fluency in English and basic German language proficiency.
- Proficiency in Microsoft Office and Google Suite software packages.
- Excellent time-management skills with the ability to multi-task and perform under pressure.
- Adept communicator and relationship builder.
- Excellent attention to detail.
- Part-time applications are welcome.
Desirable Skills
- Experience working with databases, content management systems, and ideally event registration systems.
- Relevant professional qualifications or degree-level education, particularly in events industry or business administration.
