We are looking to recruit a Fixed Term position for a Business Support Assistant G4 within the WFP Innovation Accelerator (INKA).

This is a local recruitment initiative. Candidates must be residents of Germany and possess a valid work permit. Furthermore, candidates should be located within commuting distance to the office in Munich or be prepared to relocate at their own expense prior to starting the role. WFP will not cover any relocation costs or assist in obtaining residency or work permits. Preference will be given to those who are already residing within commuting distance of Munich.
ORGANIZATIONAL CONTEXT
The World Food Programme (WFP) serves as the United Nations' primary agency addressing hunger issues. WFP provides food assistance to over 100 million individuals daily, working alongside smallholder farmers, communities, and governments to enhance nutrition and build resilience.
The WFP Innovation Accelerator has been recognized for its innovative approach to identifying, nurturing, and scaling disruptive start-ups and solutions aimed at eradicating global hunger. Based in Munich, the Accelerator offers WFP staff and start-ups funding, hands-on support, and access to WFP's global operations. The Accelerator leverages cutting-edge advancements in digital innovation, including mobile technology, artificial intelligence, and blockchain, to transform service delivery to vulnerable communities worldwide.
JOB PURPOSE
The Business Support Assistant will report directly to the Head of the Innovation Accelerator and will be responsible for delivering a variety of business support functions to ensure the efficient provision of timely and high-quality services. The selected candidate will also serve as the Executive Assistant to the Head of the Innovation Accelerator, managing tasks such as calendar coordination, travel arrangements, and overall office management, including stepping in for other Business Support Assistants when necessary.
The role requires the ability to produce organized and precise work while demonstrating effective teamwork, proactivity, and communication skills in a multicultural environment.
KEY ACCOUNTABILITIES (not exhaustive):
Collect information with clear direction to assist in drafting documents and preparing reports for other team members. Address inquiries and escalate issues as needed to provide timely and accurate service to clients. Support the processing and management of routine administrative and financial tasks across various functional areas to contribute to effective resource management. Provide revision and proofreading services for standard documents to ensure accuracy. Maintain established systems and files to ensure information is accurate and readily accessible. Identify simple discrepancies in data and report them to senior staff to support client work. Ensure data integrity to facilitate the availability of accurate information in corporate systems. Offer guidance on routine business support methods to junior colleagues to ensure consistent service delivery. Collaborate with various individuals, incorporating feedback to enhance business support services.SPECIFIC POST REQUIREMENTS
Essential:
Experience in general administrative functions. Experience in managing calendars, travel arrangements, and protocol support. Experience supporting executive management or a CEO office. Experience in preparing correspondence and communication materials.Desirable:
Experience in organizing events (both on-site and virtual). Familiarity with procurement processes. Experience in maintaining filing systems and electronic records. Experience liaising with stakeholders for information sharing. Experience in a UN common system or international organization.STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE
Education: Completion of secondary school education.
Experience: Four or more years of experience in general administrative work.
Language: Proficiency in both oral and written communication in English and German.
Knowledge & Skills:
Proficient in office equipment and software, such as Microsoft Word. Knowledge of work routines and methods to complete tasks with minimal supervision. Ability to communicate effectively and courteously with a diverse range of individuals. Capability to identify and rectify data discrepancies.
