Job Summary

We are seeking a highly skilled and experienced Facilities Coordinator to join our team at Renesas Electronics Corporation. As a key member of our facilities team, you will be responsible for ensuring the smooth operation of our facilities, maintaining a safe and healthy work environment, and providing administrative support to our Senior Facilities Manager Europe.

Key Responsibilities
  • Health and Safety Coordination
    • Collaborate with the Health and Safety Team to implement and maintain a safe and healthy work environment.
    • Conduct risk assessments and site inspections to identify potential hazards and implement corrective actions.
    • Organize evacuation exercises and ensure that all employees are trained and prepared in case of an emergency.
    • Coordinate medical services and ensure that all necessary documentation is up-to-date and compliant with regulations.
  • Facilities Coordination
    • Liaise with the Senior Facilities Manager Europe, contractors, and service providers to ensure that all facilities-related tasks are completed efficiently and effectively.
    • Manage contracts with external providers, including preparing documents for tenders, obtaining quotes, and assessing costs for goods and services.
    • Monitor the working environment and ensure that it is maintained to a high standard, arranging for repairs and maintenance as necessary.
    • Ensure that all statutory testing is completed on time and that relevant records are kept up-to-date.
  • General Administration
    • Provide administrative support to the Senior Facilities Manager Europe, including maintaining supplier set-ups and providing a customer-facing approach to all enquiries.
    • Manage the office environment, including ensuring that stationary, equipment, and meeting rooms are maintained to a high standard.
    • Facilitate DHL and other courier services, and manage the office to ensure that it meets the needs of all users.
Requirements
  • 3-5 years of experience in facilities coordination, health and safety regulations, administration, or a similar field.
  • Business Administration or BIFM qualification in administration or a related subject, or relevant demonstrable experience to NVQ level 4.
  • Strong German and English communication skills, both verbal and written.
  • IOSH Managing Safely certificate is advantageous.
  • Proven administrative skills with experience of office organization.
  • Demonstrable competence with interface of local IT, Word, Excel, and Access packages.
  • Numerate with experience of monitoring and managing invoices via Excel.
  • Excellent problem-solving skills and the ability to manage difficult situations using a solution-focused approach.
  • Strong customer relations skills and an ability to integrate with a diverse and changing environment.
  • Strong organizational skills - an ability to work without close supervision.
  • Team-player mindset, enthusiastic, positive, open-minded approach to challenges.
  • Ability to demonstrate utmost discretion when dealing with all sensitive and confidential information.
  • Ability to multi-task in a fast-moving environment.
