Job Title: Payroll Specialist

At Kofax, we are seeking a highly skilled Payroll Specialist to join our team. As a Payroll Specialist, you will be responsible for the payroll process and will serve as the primary point of contact within the HR department and joint point of contact with all employees regarding payroll queries.

Key Responsibilities:
  • Process company payroll, ensuring accurate calculation of wages, tax withholdings, and company deductions.
  • Assist in the transition of payroll to an external payroll company, standardizing the payroll process across all entities for processing, accounting, and payments.
  • Collate and communicate monthly payroll data to the payroll service provider, reconciling payroll output from the provider for accuracy.
  • Manage the interface to and the SLAs with the outsourced payroll provider, ensuring delivery of net pay, third-party payments, and payroll funding as required.
  • Internal absence management, tracking, and delivery to the external provider, interacting and coordinating with government agencies as required for payroll-related matters.
  • Responsible for archiving and keeping up-to-date payroll records and reconciliation reports after each payroll run, performing quarterly accounts reconciliations and year-end activities.
  • Support all payroll-related audits, ensuring compliance to national legislation, internal controls, and guidelines, and supporting payroll forecasting and budgeting.
  • Provide data to the finance department, including monthly payroll reports, statistical reports on vacation, and accruals for accounting and controlling.
  • Maintain accurate files and records to ensure access to up-to-date information, figures, and reports, completing statutory returns, and conducting manual calculations when required.
  • Act as a single point of contact for all payroll-related queries for employees, providing an information service to staff with payroll queries, and attending to all ad-hoc payroll-related requests and queries.
Requirements:
  • Prior payroll processing experience of payrolls for at least 1 to 2 or more years, with a good understanding of payroll processes in general.
  • Professional degree in management/accounting, experience with ERP application, reconciling, and accounting experience preferred.
  • Proficient and competent in vendor management, attention to detail, and analytical thought process, with the capability to work with minimum supervision and problem-solving skills.
  • Excellent numerical skills gained during a number of years of experience as a payroll clerk, well-developed administration skills, data input, record keeping, accuracy, and attention to detail with the ability to prioritize tasks.
  • The ability to work under tight deadlines, effective communication skills, and proficiency in the English language, initiative, adaptability, and flexibility, good communication skills.
