Financial Operations Coordinator

We are seeking a highly organized and detail-oriented Financial Operations Coordinator to join our team at Wells Fargo Bank. As a key member of our finance team, you will play a crucial role in ensuring the efficient processing of financial transactions and maintaining accurate records.
Key Responsibilities- Vendor Collaboration: Work closely with vendors to ensure seamless documentation processes and maintain accurate records.
- Tax Form Management: Manage, update, and process tax forms for invoices with accounts payable.
- Financial Inbox Management: Monitor the finance inbox for incoming invoices and ensure all information is accurate before internal submission.
- Invoice Submission: Monitor the submission of invoices for payment and ensure timely processing.
- Invoice Retrieval: Download invoices paid but not received from IRISweb and vendor websites.
- Escalation Management: Initiate escalations for overdue invoices to avoid debt collection and dunning action.
- Local Invoice Processing: Process local invoices and ensure accurate payment processing.
- Reporting: Create weekly and monthly paid list management reports.
- Administrative Experience: Minimum 1 year of experience in administrative support or equivalent demonstrated through work experience, training, military experience, or education.
- Administrative/Finance Background: Advantageous to have a background in administrative or finance.
- Language Skills: Fluent in German and English.
- Teamwork: Ability to work well within a team.
- Problem-Solving: Good problem-solving skills.
- Time Management: Good time management and organizational skills.
- Accounting Knowledge: Basic knowledge of accounts receivable/accounts payable accounting, including travel expenses.
- Software Skills: Good knowledge of MS Office.
- Reliability: Reliable, conscientious, and structured way of working.
- Part-Time: 4 days (32 hours) per week.
- Language: Fluent in German and English.
