WHO IS ELIGIBLE?
Current INTERNAL Local National Employees across Germany, including all Local National personnel of the U.S. Forces in Germany.
The Transportation Coordinator functions as a vital support role, overseeing the examination and validation of transportation invoices and associated documentation to ensure precision and thoroughness. This position encompasses a comprehensive array of transportation services for active military members, reserve units, and Department of Defense (DOD) civilians regarding the management of authorized personal property shipment and storage entitlements funded by the government.
The Coordinator will:
1. Assess and inform clients about their entitlements and procedures concerning temporary storage, weight allowances, and the shipment of personal belongings, including various available methods (e.g., government or personally procured moves).
2. Process correspondence, orders, and applications for property movement from residences and non-temporary storage, ensuring the forwarding of necessary documents to relevant transportation offices for both domestic and international shipments.
3. Determine the most efficient and cost-effective rates and routes for the shipment and/or storage of household goods, personal effects, and mobile homes, adhering to Defense Transportation Regulations.
4. Explain customs documentation requirements for various international destinations and clarify the responsibilities of Transportation Service Providers (TSPs) regarding liability for damaged or missing items.
5. Identify and resolve discrepancies in applications, ensuring clients are informed of any potential additional costs or liabilities.
Additionally, the Coordinator will:
6. Prepare and process applications for the transportation or storage of a diverse range of personal property and vehicles, including special items for authorized military and civilian personnel.
7. Evaluate the mode and method of transportation based on shipment weight, destination, and eligibility of TSPs, while also arranging for the movement of special items such as mobile homes and large boats.
8. Conduct detailed cost comparisons to identify the most economical transportation methods and ensure accurate accounting data is maintained.
9. Manage the daily upkeep of stored property and update records for temporary and non-temporary storage.
10. Serve as the primary contact for resolving issues related to assigned moves, including any damages or structural concerns that arise during transit.
Finally, the Coordinator will:
11. Review invoices and requests for accuracy and legality concerning DOD-sponsored shipments, ensuring compliance with established guidelines.
12. Conduct pre-audits on contractor invoices to verify accuracy in rates and services, while developing statistical data related to invoice handling.
13. Research and perform pre-audits of transportation vouchers, adjusting charges as necessary and maintaining records of overcharges for future reference.
14. Prepare responses to carrier rebuttals regarding adjusted bills, ensuring clarity and justification for all adjustments made.
Education & Experience Requirements:
Applicants must possess a combination of clerical experience and relevant work in a similar field, demonstrating the necessary knowledge, skills, and abilities for the position. Office automation skills are essential.
Language Proficiency:
Proficiency in English (Level B2) and German (Level B2) is required.
This is a permanent full-time position (38.5 hours per week). Employees may occasionally work remotely to complete short-term assignments or accommodate special circumstances.
