Role Purpose:
The primary objective of this position is to deliver comprehensive secretarial, clerical, and administrative assistance to ensure the efficient provision of services. This role involves the coordination of administrative and general support tasks for the functional Director, facilitating seamless communication between the Director, the function team, and other internal and external stakeholders.

Key Responsibilities:
1. Manage and organize the administrative and general support activities for the functional Director, including scheduling and coordinating business travel arrangements.
2. Oversee the management of email and mail inboxes, prioritizing tasks and ensuring effective communication.
3. Prepare meeting materials in collaboration with the function team, including presentations, decision papers, and other essential documents.
4. Document and distribute meeting minutes, ensuring all action items are tracked and followed up on.
5. Coordinate daily business operations, ensuring deadlines are consistently met.
6. Assist in the administrative preparation of employee and distributor events.
7. Support the function team with interdivisional tasks and projects, including the development of business plans and project overviews.
8. Handle ad-hoc tasks as assigned by management.
9. Maintain accurate and comprehensive records.

Qualifications:
- A solid educational background in marketing or business, or equivalent experience.
- A minimum of 5 years of relevant experience in a similar role, preferably within sales or marketing.
- Proficiency in both written and spoken German and English; additional European languages are advantageous.
- Strong computer skills, particularly in Word, Excel, PowerPoint, and Acrobat.
- Exceptional organizational abilities and the capacity to work independently.
- Proven skills in prioritization, multitasking, and time management under pressure.
- Excellent communication and interpersonal skills, with a collaborative approach to working in international and cross-functional teams.
- A high degree of reliability, discretion, and professionalism is essential.
