Applied Materials' Automation Products Group (APG) is looking for a dedicated Project Coordinator to assist in managing our initiatives across Europe, working closely with the Lead Project Manager.
Pre-Sales Responsibilities:
- Collaborate with the Sales team to gather necessary data for the Profit and Loss workbook. Review customer Requests for Quotes and develop the Profit and Loss workbook to outline the cost structure, including efforts, travel, licenses, maintenance, risks, and additional expenses. Oversee the approval process of the Profit and Loss workbook and make adjustments based on feedback received.
- Create proposal presentations for service-related tasks, establish a high-level project plan, project charter, define assumptions, out-of-scope items, resource allocation, and risk matrix. Partner with the regional manager and deployment manager to finalize the resource plan.
- Draft the statement of work based on the proposal and customer purchase order. Facilitate the completion of the statement of work through the review and approval process involving the PMO team, customer, sales, legal, and management.
- Report on progress during weekly internal status meetings regarding pre-sales activities.
Project Management Duties:
- Prepare kickoff presentations and align with the customer on the project plan, milestones, and deliverables. Develop the project plan using MS Project and validate the resource plan with the Deployment Manager and Regional Manager. Establish project information in SAP.
- Ensure the project stays on track regarding scope, timeline, and quality by monitoring project activities and updating the project plan. Review the project dashboard in collaboration with internal stakeholders and the customer project team. Foster effective teamwork to ensure project success. Ensure that the management team sets clear goals, communicates transparently, and takes appropriate actions on team culture issues.
- Monitor actual project efforts and travel in SAP. Conduct project reviews with the customer and monthly reviews with Applied management. Create project change requests as necessary throughout the project lifecycle. Organize customer visits during project execution and address initial escalations. Prepare and facilitate project closure meetings, ensuring project acceptance documentation is signed by the customer.
- Report on progress during weekly internal status meetings concerning ongoing projects. Collect feedback from the project team on lessons learned and present these insights to management.
Role Expectations:
- Willingness to travel to customer sites regularly (20% to 50% of the time depending on activities).
- Strong project management skills are essential (PMI certification is highly recommended).
- Proficiency in project management tools such as MS Project, SAP, Pert, SWOT, and Scrum.
- A Master's degree is preferred.
- Fluency in English is required; proficiency in German is an advantage.
