We are a division of Hexagon AB, headquartered in Stockholm, with a strong presence in Germany. Our offices in various cities are home to over 200 professionals working across diverse functions, including finance, project management, and sales.

Our primary business languages are German and English, and proficiency in both will be assessed during the interview process.

Position Summary

Hexagon PPM is currently seeking an Order Management Representative to join our team.

This position is based in our Garching office in Munich, with options for hybrid work arrangements.

In this role, you will provide essential support to our Sales and Services teams, facilitating the advancement of our business objectives. Your responsibilities will encompass a wide range of administrative and operational tasks, reporting directly to the Order Management Manager. This role will cater to our clientele across the DACH region.

We are looking for a motivated and detail-oriented individual to contribute to our dynamic and professional team environment. Key responsibilities will include processing sales orders, managing assets, and handling license generation requests.

Key Responsibilities

  • Generate and process quotes and orders submitted by the sales team using Salesforce CPQ and Dynamics GP.
  • Manage software licenses, keys, and asset documentation.
  • Verify pricing, quantities, and terms in accordance with established business policies.
  • Issue accurate invoices upon order fulfillment.
  • Review legal agreements to ensure compliance with delivery and administration requirements.
  • Adhere to corporate export policies.
  • Communicate professionally with internal and external stakeholders to identify and resolve issues or escalate as necessary.
  • Prioritize tasks effectively and navigate multiple business systems to fulfill requests.
  • Prepare ad hoc reports for management review.

This role involves significant interaction with both internal and external clients, necessitating strong communication skills. A high level of self-direction and decision-making capability is expected, along with the ability to collaborate effectively within a team.

Qualifications

Ideal Candidate Profile

  • 3 to 5 years of experience in customer service, preferably within an international organization.
  • Excellent command of both spoken and written German (C2) and English.
  • Familiarity with standard ERP systems; experience with Dynamics Great Plains is a plus.
  • Strong communication and analytical skills are essential.
  • Ability to quickly learn new software functionalities and processes.
  • A team-oriented approach and commitment to excellence.
