Workshop Assistant

The ideal candidate will provide timely and sufficient support to workshop and service operations, ensuring all internal and external customer requirements are met. This is a key administrative role supporting the smooth daily functioning of our service department.Reporting directly to the Operations Manager. This position is based in Pinneberg, Germany. Please note that this is a part-time position. We offer flexible hours tailored to your availability. While initially part-time, there is a possibility of this role developing into a full-time contract.Collect information required for making quotations and prepare final costing for workshop/service jobsHandle the full order process in SAP, from initial notification to final invoicingSupply of spares and consumables for the workshop and service jobsUse Salesforce, Google Workspace, and other databases to keep documentation and processes up to dateArrange shipments and handle customs declarations with subcontractors and third partiesCoordinate with different warehouses to ensure parts are delivered to the site or workshopWork closely with service engineers, coordinators, and the local workshop teamAssist with the physical packing of shipments when requiredTo succeed in this role, you should have a strong service-oriented mindset and excellent communication skills. You are comfortable working with different stakeholders, including customers and Service Engineers. You are a self-starter who can manage multiple tasks at once and meet deadlines, providing the essential support our operations need.Ideally you haveA diploma or certificate (an apprenticeship in the maritime industry is a plus)At least 3 years of experience in an office or business roleFluency in English, both written and spoken, is requiredAttention to detail and strong organizational skillsStrong communication skills and a professional, service-minded approachAbility to carry out multi-tasks and deliver work on timeProficiency in Google office applications (Docs, Sheets)Experience with SAP or Salesforce is a significant advantageGood German skills are an advantageOur people are behind every success.
